Position Summary
The Recreation Administrative Assistant will support the Director of Recreation and the entire recreation team in any and all administrative tasks as they relate to Recreational programming. This position is also the face of the recreation program department for new and returning families. It is important that they create a welcoming atmosphere for the recreation participants, families and staff. This position is part time (20-25 hours per week).

Responsibilities Include:
● Building program registrations and necessary forms
● Manage Recreation program registration
● Work collaboratively with Director of Recreation to design and update all participant and staff paperwork
● Track all participant paperwork and staff forms to ensure all files are complete
● Supply ordering and inventory
● Draft regular email communication to families and send out with Director approval
● Work with Marketing and Communication Departments to ensure regular communications about recreation programs are being distributed in a timely manner that matches program cycles
● Communicate regularly with Keshet Camp partners and the Keshet billing department regarding registration numbers, forms and changes
● Answer all calls, emails and voicemails that come into Recreation department
● Assist in scheduling Recreation programs, events and team meetings
● Produce and distribute recreation program calendar for the year
● Work positively and collaboratively with other departmental admins for managing the use of shared vehicles, supplies and spaces
● Assist Recreation staff in managing and maintaining technology and equipment and communicate with IT when necessary
● Organize systems of communication for birthdays, anniversaries and other special occasions

Position Requirements
● Availability to work flexible hours, to support programming, including evenings and weekends
● Knowledge of CampMinder Database is preferred or willingness to learn
● Proven track record of designing and maintaining organization systems
● Detail oriented
● Positive attitude and friendly demeanor
● Proficiency in computer software ( Microsoft Office, Slack, Google)
● Previous experience working in recreation, camp or child care programs
